Use Legito For Collaborating On Selected Documents With Your Clients

OK, you drafted a document and it’s time for your client to check it and/or insert missing information. We know how ineffective and exhausting it is to exchange a ton of emails with separate files. With External sharing in Legito, you will have always one document with track changes (history of changes).

When it’s the right time to share a document with your client, open Share, activate External sharing, choose that you want to share such Document, set the link to Permanent, give a client permission to Edit document, select owner and status of new version of such document saved in future by your client, and send generated link to your client.

Alternatively, if you want the link to expire after the first save of reviewed document from your client, then set the link to One time instead of Permanent.

Advanced Legito users may be noticed that there is also an option to share just certain Reviews instead of a Document. You can use this option if you don’t want to give your clients an option to work with the latest version of your template, but just with the version you shared. This option has an application for example in case of sharing a document you drafted to more parties (e.g. landlord-tenant, seller-buyer) if you want to let them create to a separate version which you will compare in Legito and manually merge together.

Use Legito For Repetitive Collaboration With Your Clients

This type of cooperation typically requires repetitive access to all documents, managing lifecycles of documents, receiving document notifications and communication in Legito.

We recommend for this use-case to create a user account for your client since this type of cooperation would require repetitive access to all documents, document management and the ability to communicate in Legito. All other use-cases listed below can be done just via external sharing.

You can assign to user-client selected automated document templates only or you won’t assign any templates to such user-client and will just share selected smart documents with her/him. You the first option if a user-client will use some of your templates repeatedly.

Make sure that you set appropriate permissions so your users won’t see other users or documents of other users (Learn more). You can also create a department for your client and assign all employees of such a client to such a department. In such a case, they will be able to see each other and collaborate on documents but won’t see any other users or documents.

Collaboration With Your Clients: Use Legito for Client’s Inputs Before You Start Drafting

You may need from your client basic information about a case before you start drafting a contract or other documents.

Instead of sending such information by emails, why don’t you let your client insert such information to a questionnaire from which a document will be generated in the background or directly to a document? It saves a lot of time to both of you.

Typically, clients specify in questionnaires/documents information about debts(obligations), properties(lands), transferred or secured items, identification of involved individuals and entities, etc.

Would it be helpful for you? Just click to Share, activate External sharing, choose that you want to share Template, set the link to One time, give the client permission to Edit document, select owner and status of a document created from shared automated document template, and send generated link to your client.

Alternatively, instead of setting a link to One time, you can set a link to Permanent to give your client the opportunity to save more documents from a shared template. Also, you don’t have to be worried about re-using such link for all your clients since you are sharing Template (not Document), therefore each time your client will click on the link, she/he will start always with blanked template and each save will be a new (separate) document which is not accessible via a link to Template.

Use Legito For Acquiring New Clients Online

This last use-case is about the automated or semi-automated acquisition of clients for common (standardized) cases such as a company formation, a refund for delayed flights, damages from car accidents, class-actions, real-estate transfers, escrows, collecting of small debts, warranty or insurance claims, etc.

So how can Legito help?

Create a questionnaire (form) with a sequence of document templates (all in one bundle) for a standardized case for which you intend to acquire clients (semi)automatically. Typically, documents such as Power of Attorney, Engagement Letter, Cease and Deist Letter, Notice, Settlement Agreement, Action, etc. are automated together in this use-case.

Click to Share, activate External sharing, choose that you want to share Template, set the link to Permanent, give your potential clients permission to Edit document, select owner and status of a document created from shared automated document template, and send generated link to your client. You can use such link for all clients since you are sharing Template (not Document), therefore each time your client will click on the link, she/he will start always with blanked template and each save will be a new (separate) document which is not accessible via a link to Template.

Then add such a link to your website, email it to your mailing list, share the link at social media or use PPC campaigns at Google referring to the link.

In Legito Document Management, you will immediately see each questionnaire filled-in and send by your potential client. 2) Flight Claims

Business case description:

Almost all of us fly. Flight claims are high-volume type and highly standardized type of dispute. Legito can help automate this process and acquire as many clients for this case as possible. The first step of the process is a questionnaire in which people who suffer damage connected with their flight specify their claim.

Major Release – April 2019

1) Comments

We added the “comments” to our smart documents as part of our suite of features for “negotiation and collaboration”. Comments could be exported to MS Word/PDF.

2) External Sharing

We launched the new feature “External sharing” of the smart documents and automated templates created in Legito. You can set various permissions and properties to links. Also. 2 new permissions are connected with this feature: Can share documents(reviews) and Can share templates. Learn more about use-cases for this powerful feature.

3) Enhanced Numbering

This is a back-end change. With new numbering introduced in the previous update, we enhanced the advanced numbering settings for export to MS Word.

4) Redesign of Template Editor

As we were adding more and more properties and settings to Template Editor over the last months, we needed to organize them in a different way. Therefore, we did a redesign of the ribbon menu.  Also, we added info about a linked element or clause to the Link element and add a possibility to switch the order of answers in Questions.  Last but not least, we made a clever cutting of texts regarding automatic spacing between elements.

5) More Options for Exporting to Word/PDF

Text inputs you will leave blank in Legito will be automatically exported to a Word document in the form of [labels] highlighted in yellow (as lawyers are used to). Alternatively, users can choose if they want to export a document for handwriting and, of course, it will look different. You can also export Helps as comments to Word.

6) Advanced conversion from your Word document template

A few months ago, we developed for Legito an AI-powered converter of unstructured texts from Word documents to structured texts into Legito smart documents. We’ve just released a new version of the converter which has 3 enhancements: a) It is even more precise; b) It can automatically create Questions in Legito templates from Word, and c) It can automatically create a house style template from imported document. For those who don’t use Legito yet, House Style Templates are documents which determine a design (header, footers, styles, etc.) for exported Word documents.

  • New Types of Conditions

    • Conditions Related to Repeated Clauses
      You set up a condition that a text (e.g. full stop or comma) shall be added to a clause if such (or another) clause if first, last or any in other.
    • Conditions Related to Buttons
      You can set up a condition saying that a text or a clause will be added to a document only if user click to a button X times including other mathematical operators. Also, conditions “has been clicked” and “hasn’t been clicked were modified in a way that they respect minimal values of Buttons (explained below).
  • Real-Time Chat
    You can use our new chat to discuss your documents in real-time. It also tracks all changes in messages.
  • Significantly Precise Conversion from Word documents to Legito Smart Documents

    You can now have easy access to full overview over usage of your Legito workspace. Great complementary feature to our Document Content Analytics.

    You can now announce to users of your workspace an important news regarding to changes in laws, in your firm or your Legito workspace.
  • Features for Bilingual Documents
    You can generate a single clause in bilingual (two columns) document across those two columns (useful mainly for signatures. You can also automatically copy a text inserted to a language in the first column to a language in second one.
